Frequently asked questions

Please refer to our Membership page for membership descriptions and fees. To register as a member or to register for any of our programs please go to the Zone4 website. Our club uses the Zone4 system for membership and program registration, as do many nordic ski clubs across Canada. 

Once a registration has been completed on-line, the registration cannot be altered by the registrant. Please direct any membership and registration questions not answered below to: membership@strathconanordics.com

What’s the online processing fee?

For club membership registration, we use the Zone4 system. We use the same company for all of our race and event registrations. In order to use this system, there is a processing fee associated with any registration, whether for membership, race or event. The processing fee for membership is calculated as follows: 3% of your total purchase is applied and given to the company that does the actual processing of the credit card;

In addition to this, Zone4 charges $1 per cart, plus $1 per person registered within that cart. For example, a family of five would be charged $1 for the family cart, plus $1 + $1 + $1 + $1 + $1 = $6. This money goes to Zone4.


Why can’t I pay by cheque?

Strathcona Nordics is a very large club. We typically have over 500 plus members – making us one of the largest clubs in BC. With this size come more administrative burdens, including the processing of hundreds of cheques every year. A significant amount of time is also spent by volunteers who must follow-up with some folks due to errors in fee payment, incorrect registration information, etc. This takes an incredible amount of time. Using a credit-card only on-line system means that we can eliminate this follow-up work and allow our volunteers other more constructive uses of their time and skills.


Do I need to register for a program in order to be a club member?

No, you can sign up for a general club membership only.


I’d like to sign up for a program. Do I need to be a club member?

Yes, you must sign up as a club member, then you can register in a program. You will pay both membership and program fees.


My child is 4 years old; is she old enough to register in the Bunnyrabbit Program? Do I need to register as well?

Bunnyrabbits are all 4 and 5 year olds, your child must be a minimum of 4 years old by Dec. 31 of the current year. Each Bunnyrabbit must have a parent attend each session with them, unless the parent is coaching the session. The attending parent must register as a general club member (the parent does not have to register in the program). If one parent attends part of the time and the other parent attends the other sessions, then both parents must be club members.


My child (or children) is registering in a youth program (Bunnyrabbits, Jackrabbits, SNAP, Youth Recreation, Devo or Junior Race). Do I need to register as well?

Yes, at least one parent needs to register as a general club member whenever there are children registering in programs. This is to ensure that you are covered for insurance and liability purposes when you are skiing/volunteering with your child during club activities. This is a standard requirement for most cross-country ski clubs in BC and for many other sports clubs.


I would like to volunteer. Where can I find out more? Do I need to be a club member?

Thank-you, and yes, if you intend to help with any of the club events/activities you must be a general club member for insurance purposes. Strathcona Nordics are a volunteer-based club and without our volunteers none of the programs, events or other activities would happen. A complete list of volunteering opportunities can be found on the Volunteer page. Even if you can only contribute a small amount of time, we greatly appreciate your commitment.


I am registering myself or my child in a Skill Development Program (Rabbits, SNAP, Youth Recreation, Master’s Rec), and I see this year there is a late fee of 25% – why is that? Are there late fee for other programs?

In past years, many registrations for the Rabbit Program were received through the final two weeks before the start of the program and even after sessions began. Last-minute registrations require a large amount of work on the part of program coordinators and registrar as classes had to be juggled, new coaches found, catching up new registrants with all the information missed, extra emails and phone calls, etc.

Other programs do not involve the numbers of participants and group levels of the Rabbits Skill Development Program. We will continue to accept registrations for all other programs until the third session of the program. It will be at the coach’s discretion to accept late registrants.

Early bird fees for programs are in effect until November 30, after which date regular program fees will apply until program start date. A late registration fee of 25% is added to recreational and skill development program fees for registrations received after program start date. Membership fees do not increase and are non-refundable.


I have registered for a program and am now unable to attend. What is the Refund Policy?

Membership fees are not refundable.

Program fees will be refunded 100% if a refund request is submitted prior to one week before the start-up of the program. A refund of 50% of the program fee will be refunded if the refund request is received prior to the third session of the program, and a credit of 50% towards the next season (for that registrant only) can be given. No refunds will be issued after the third session. Refund requests should be directed in writing to: membership@strathconanordics.com


Do program participants need to pay trail fees?

Yes, trail fees are the responsibility of the individual skier. Trail passes can be purchased at the Mount Washington Nordic Centre at Raven Lodge. Season Passes can also be purchased on the Mount Washington website.


Are equipment rentals available?

Yes, rentals are available at Mount Washington Raven Lodge on the lower floor. Please allow a sufficient amount of time to get set-up with your rental equipment prior to the start of your program session. Mount Washington also offers a Nordic Rental Pass, good for the entire season, for children, youth and adults with the purchase of a Season Pass. Please visit the Season Pass page on the Mount Washington website. Equipment rental is also available at Ski Tak Hut in Courtenay.


I have registered as a member, but would now like to participate in a program. How do I do that?

Please register for programs on Zone 4.


I’d like to register for a program, but three sessions have gone by. Can I pay a reduced fee?

No. We do not pro-rate fees.


I’d like to register for a recreational program, but I only want to participate in the skate skiing sessions. Can I pay a reduced fee?

No. The full fee must be paid.


I’d like to register for the Masters Race program, but I cannot make the weekday practices. Can I pay a reduced fee?

No. The full fee must be paid.


Why am I required to have an email address?

There are two reasons: first, an email address is required in order to pay fees on-line – a notification of the fee payment is sent to the email address; second, almost all of our Club communication is via email. Newsletters are sent out regularly to all members and program coordinators/coaches will communicate with their program participants via email.


I don’t currently have an email address or a computer at home. Can I request to register via mail-in form?

Computer access is available through a number of sources, such as your regional library and internet cafes. Email accounts can be set up through a number of providers free of charge such as Gmail (google) and Yahoo mail.
